We are growing carefully and are looking for a Remote Showing Coordinator to manage leasing activity and tenant communication across our portfolio.
Role Overview
The Remote Showing Coordinator is responsible for coordinating property showings, responding to leasing inquiries, and managing applicant flow, all remotely.
This role is not field-based and does not require conducting in-person showings. You will work closely with self-showing technology, lockbox systems, vendors, and prospective tenants to ensure vacant properties are leased quickly and professionally.
Key ResponsibilitiesLeasing & Showings
• Respond promptly to inbound calls, texts, and emails from prospective tenants
• Schedule and coordinate self-guided and agent-assisted showings
• Provide clear instructions for access (lockboxes, smart locks, showing platforms)
• Confirm appointments and follow up with prospects after showings
Applicant Coordination
• Pre-screen applicants for basic qualification criteria
• Guide applicants through the application process
• Answer questions related to property features, rent, and next steps
• Track application status and communicate updates clearly
Listing & Availability Management
• Keep property availability and showing instructions up to date
• Coordinate with internal team and vendors to confirm readiness
• Flag issues that may slow leasing (cleaning delays, access problems, signage issues)
Systems & Documentation
• Log all activity accurately in property management software (Buildium or similar)
• Maintain clear notes on prospects, showings, and applicant interactions
• Ensure communication is professional, documented, and timely
What This Role Is NOT
• ❌ No in-person showings
• ❌ No rent collection or bookkeeping
• ❌ No maintenance dispatch or repair coordination
• ❌ No sales quotas or cold outreach
This is an operations-focused leasing support role, not a sales role.
Required Qualifications
• Prior experience in property management, leasing, or real estate coordination
• Strong written and verbal communication skills
• Comfortable handling high volumes of text, email, and phone inquiries
• Highly organized and detail-oriented
• Able to work independently and follow clear processes
• Reliable internet and quiet work environment
Preferred (Nice to Have)
• Experience with Buildium, AppFolio, or similar PM software
• Familiarity with self-showing platforms (Rently, Tenant Turner, ShowingTime, etc.)
• Experience leasing single-family homes or Class B/C properties
• Understanding of Fair Housing guidelines
Schedule & Compensation
• Flexible schedule with coverage required during peak leasing hours
• Compensation based on experience and workload (hourly or per-showing model)
