**Key Responsibilities**
As a Virtual Personal Assistant, you'll play a vital role in supporting our director and ensuring the smooth operation of our property management business. Your key responsibilities will include:
* **Email Management**: Managing the director's emails and admin tasks, ensuring prompt and efficient responses to customer inquiries and requests.
* **Customer Communication**: Responding to customer phone calls by email, calling customers back who need help with urgent issues, and providing professional support to resolve their queries.
* **Maintenance Coordination**: Arranging maintenance work, including responding to customer emails requesting maintenance, coordinating contractors to attend (subject to landlord/line manager approval), and ensuring timely completion of tasks.
* **Airbnb Support**: Handling Airbnb guest inquiries and requests via the Airbnb platform, updating Guesty (our property management software) with accurate listing information, and ensuring seamless communication with guests.
* **Contract Management**: Drafting contracts for tenants and employees, ensuring compliance with relevant laws and regulations, and maintaining accurate records.
* **Landlord, Tenant, and Staff Support**: Responding to landlords, tenants, and staff inquiries professionally, providing timely and accurate information, and resolving any issues that may arise.
* **Content Creation**: Using ChatGPT to generate professional responses in the director's tone (checking key responses with him via WhatsApp), creating a maintenance manual with FAQs within the first two months to streamline future inquiries, and developing content for marketing campaigns.
* **Mail Merges and Distribution**: Organizing mail merges and distributing letters to UK customers for marketing campaigns, ensuring timely and accurate delivery.
**Ideal Candidate**
We're looking for a highly organized and proactive individual who can work independently, think critically, and provide exceptional customer support. The ideal candidate will have:
* **Strong Written and Verbal Communication Skills**: Fluency in English is essential, and the ability to communicate effectively with customers, landlords, tenants, and staff.
* **Experience in Airbnb, Guesty, and UK Property Management**: While experience is desirable, we're open to training the right candidate who is willing to learn and adapt to our systems and processes.
* **Confidence in Using ChatGPT**: The ability to use ChatGPT for drafting responses and admin support, ensuring consistency and professionalism in communication.
* **Excellent Problem-Solving Skills**: The ability to manage urgent customer issues, think critically, and provide effective solutions.
* **Reliability and Responsiveness**: The ability to work during UK hours (7 AM to late afternoon, Monday to Friday), respond promptly to customer inquiries, and maintain accurate records.
