Position Summary Diamonds International is seeking a highly organized and detail-oriented Personnel Logistics Coordinator to support our Cruise Retail Division. This role is a key part of the Operations Team and is responsible for end-to-end personnel logistics management for sales professionals working in Diamonds International boutiques aboard cruise ships. The Personnel Logistics Coordinator will serve as the primary point of contact for crew members throughout the onboarding lifecycle, ensuring a smooth, compliant, and timely transition from offer acceptance to embarkation and return. This position requires strong knowledge of international crew documentation, logistics coordination, and collaboration with global manning agencies. This position is fully remote, but the ideal candidate resides in the state of Florida. Key Responsibilities: Crew Onboarding & Compliance • Manage end-to-end onboarding for cruise ship sales crew, serving as the primary point of contact throughout the entire process • Guide crew members through all required documentation, including (but not limited to): C1/D visa applications, Seafarer medical examinations, Seaman’s books, background checks, and other country- or cruise-line–specific requirements • Ensure all onboarding documentation is complete, accurate, compliant, and submitted within required timelines • Maintain up-to-date knowledge of visa, medical, and maritime requirements for crew from multiple countries Personnel Logistics & Travel Coordination • Coordinate all travel logistics related to ship contracts, including flights, ground transportation, and embarkation/disembarkation arrangements • Manage travel changes, delays, and urgent logistical issues as they arise • Ensure cost-effective and efficient travel planning while meeting embarkation deadlines • Act as a liaison between Diamonds International and external manning agencies located in multiple countries • Communicate onboarding status, documentation needs, and timelines clearly with agencies and internal stakeholders • Build and maintain strong working relationships with global partners Data Management & Reporting • Maintain accurate records of crew documentation, travel details, and contract logistics • Track onboarding progress and provide regular updates to Operations leadership • Support audits and compliance reviews as needed Qualifications: • 1–3 years of experience in crew logistics, manning, or personnel coordination within the cruise ship or maritime industry strongly preferred • High school diploma (Bachelor’s degree preferred) • Strong organizational skills and attention to detail • Ability to manage multiple onboarding cases simultaneously in a fast-paced, deadline-driven environment • Excellent written and verbal communication skills • Comfort working with international teams across time zones • Working knowledge of C1/D visas, seafarer documentation, international onboarding requirements, and maritime compliance standards • Experience coordinating international travel and logistics Why Join Diamonds International: • Be part of a global luxury brand operating across the world’s leading cruise lines • Play a critical role in enabling the success of onboard sales teams • Collaborate with a dynamic operations team in a growing cruise retail environment Diamonds International is an equal opportunity employer and values diversity in its global workforce.
