National Virtual Teacher Education Recruitment Initiative (3-Month)

Overview
The American Montessori Society (AMS) is launching a national virtual Teacher Education Pathways initiative designed to connect aspiring educators with AMS-affiliated teacher education programs and AMS member schools.
We are seeking an experienced consultant to manage this project from planning through execution. This role will coordinate across internal staff, teacher education programs (TEPs), and participating schools to deliver a high-quality virtual event experience and supporting infrastructure.
Scope of Work
The selected consultant will be responsible for end-to-end coordination, including:
1. Platform & Infrastructure
Recommend and set up appropriate virtual event platform (Hopin, Airmeet, etc.)
Build registration system and data collection form
Ensure CRM/data export functionality
Manage event technical logistics (breakouts, sequencing, speaker flow)
Develop run-of-show document
2. Stakeholder Coordination
Communicate directly with AMS-affiliated Teacher Education Programs
Coordinate participation details (logos, format, session structure)
Coordinate participating AMS schools
Schedule planning meetings
Manage timelines and deliverables
3. Internal Collaboration
Work closely with AMS leadership and marketing team
Align messaging and materials
Support development of event page content
Coordinate promotional timelines
Ensure brand alignment across materials
4. Project Management
Build and manage detailed project timeline
Track milestones and deadlines
Provide weekly progress updates
Identify risks and propose solutions
Ensure smooth execution of live event
5. Post-Event Support
Manage attendee follow-up workflow
Provide summary metrics report
Deliver clean participant data file
Capture recommendations for future sessions
Deliverables
By the end of the contract, AMS expects:
Fully executed national virtual pathways event
Coordinated participation from AMS-affiliated programs
Organized event production and facilitation support
Post-event analytics summary and recommendations
Ideal Candidate Profile
We are seeking someone who has:
5+ years experience managing virtual events or national education initiatives
Experience working with associations or membership organizations
Strong stakeholder coordination skills
Comfort managing multiple external partners simultaneously
Platform implementation experience
Strong written and verbal communication skills
Ability to operate independently and proactively
