PAYROLL COORDINATOR OPPORTUNITY SUMMARY Under the supervision of the Accounting Director, the Payroll Coordinator will manage all aspects of the semi-monthly and monthly payroll processing. This position will assist with establishing and maintaining the firm’s tax registrations and compliance for multiple tax jurisdictions. Ensure the integrity of the ADP payroll system and build rapport and trust with all Redgrave employees. This position is part-time hourly with expectations to work additional hours as necessary.   This position is predominantly a remote opportunity.  Flexibility for periodic onsite work desired. ESSENTIAL DUTIES, TASKS, AND RESPONSIBILITIES Payroll Processing & Reporting - Process semi‑monthly and monthly payrolls, including specialty payroll runs such as bonuses and off‑cycle payments. - Validate and process employee payroll changes including time cards, overtime, reimbursements, and deductions. - Performs on-boarding and off-boarding tasks as related to payroll - Prepare regular and ad hoc reports using the ADP reporting tools to support internal and external requirements. - Follow up with ADP to troubleshoot and resolve payroll system issues, ensuring timely solutions.  - Manage sensitive and confidential payroll information with discretion and professionalism. - Maintain organized payroll documentation. - Identify opportunities to streamline payroll processes and support operational improvements as the firm grows Compliance, Tax, and Regulatory Support - Ensure compliance with federal, state, and local payroll regulations, including multi‑state and local tax requirements. - Maintain payroll tax registrations for states and local agencies as business needs evolve and maintain set up in ADP. - Resolve payroll tax issues, notices, and discrepancies with ADP. - Assist with year‑end payroll processes, including W‑2 preparation, reconciliation, and reporting. - Familiarity with employment laws and impacts to payroll, assessing updates required to remain compliant.  Internal Support - Serve as a payroll subject‑matter expert for Redgrave employees providing clear, accurate guidance on payroll processes. - Partner closely with Human Resources to ensure payroll changes align with personnel actions, benefit elections, and policy updates. - Facilitate accurate financial reporting and alignment between payroll and accounting functions. SKILLS, KNOWLEDGE, AND ABILITIES - Critical thinking and attention to detail - High-level of confidentiality  - Thorough knowledge of payroll practices and procedures - Understanding of payroll taxes and jurisdictional requirements - Familiarity with employment laws and changing requirements - Communicate payroll information clearly and concisely  - May include other onboarding tasks as assigned by the Accounting Director   QUALIFICATIONS: - 3-5 years of experience preparing multi-state/local tax jurisdictional payroll - Thorough understanding of payroll processes and payroll taxes,  - Collaborative and team-player - Experience with ADP Workforce Now PHYSICAL REQUIREMENTS - Ability to sit, stand, and move about an office environment for extended periods of time - Ability to use computer keyboard, mouse, and standard office equipment for prolonged periods - Ability to view computer screens and read printed materials - Ability to communicate verbally and in writing Please Note: This job description sets forth the job’s principal duties, responsibilities, and requirements; however, it should not be construed as an exhaustive statement.
