Key Responsibilities
- Office Administration: Organize and optimize office procedures, assist associates with various tasks, and maintain a high level of productivity.
- Communication Management: Sort and distribute communications in a timely manner, ensuring that all stakeholders receive the information they need.
- Record-Keeping: Create and update records, ensuring accuracy and validity of information, and maintain organized filing systems.
- Meeting and Appointment Scheduling: Schedule and plan meetings and appointments, ensuring that all necessary parties are informed and prepared.
- Supply Management: Monitor the level of supplies and handle shortages, ordering replacement stock as needed.
- Issue Resolution: Resolve office-related malfunctions and respond to requests or issues, providing solutions and escalating problems when necessary.
- Interdepartmental Collaboration: Coordinate with other departments to ensure compliance with established policies and procedures.
- Relationship Building: Maintain trusting relationships with suppliers, customers, and colleagues, providing exceptional customer service and support.
- Receptionist Duties: Perform receptionist duties when needed, including greeting visitors, answering phone calls, and responding to emails.
Essential Qualifications and Skills
To succeed in this role, you should possess the following qualifications and skills:
- Proven Experience: Previous experience as a back-office assistant, office assistant, or in another relevant administrative role.
- Computer Systems Knowledge: Familiarity with back-office computer systems, office equipment, and software applications.
- Organizational and Time Management: Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Analytical and Problem-Solving: Strong analytical abilities and aptitude in problem-solving, with the ability to think critically and creatively.
- Communication Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with diverse audiences.
- MS Office Proficiency: Proficiency in MS Office, including Word, Excel, and Outlook.
- Driver's License and Transportation: A valid Driver's license and dependable transportation are required.
