Position Overview – Customer Service Representative The Customer Service Representative at Hirebase is the frontline champion of our client relationships. You will be responsible for delivering superior service across the entire order lifecycle—from initial inquiry to final delivery—ensuring accuracy, timeliness, and complete customer satisfaction. Your ability to communicate clearly, think analytically, and collaborate across departments will directly influence Tasklance’s reputation for excellence. Key Responsibilities Order Management: Receive, process, and meticulously track assigned orders through scheduling, ensuring each step aligns with production capacity and delivery commitments. Cross‑Functional Coordination: Partner with internal teams—including sales, design, production, and logistics—to verify order completeness, confirm on‑time delivery, and guarantee accurate invoicing. Customer Communication: Act as the primary point of contact for customers, providing timely updates on product availability, pricing, freight rates, allocations, and delivery dates. Quotations & Samples: Generate detailed quotations, estimates, and sample requests, ensuring customers receive accurate information for decision‑making. Issue Resolution: Investigate and resolve complaints, billing adjustments, and order discrepancies, escalating to managers or specialized departments when necessary. Inventory Oversight: Monitor on‑hand inventory levels, reconcile stock with order forecasts, and conduct month‑end physical inventory counts. Documentation & Record Keeping: Maintain organized, up‑to‑date customer files and internal records to support auditability and efficient information retrieval. Continuous Improvement: Identify trends in customer feedback, propose process enhancements, and contribute to initiatives that elevate service quality. Essential Qualifications High school diploma or equivalent (required). Minimum of two (2) years of proven experience in a customer service role, preferably handling order entry and relationship management. Demonstrated proficiency with Microsoft Office Suite—particularly Word, Excel, and Outlook. Strong numerical aptitude for pricing, freight calculations, and inventory reconciliation. Exceptional written and verbal communication skills, with the ability to convey complex information clearly to diverse audiences. Detail‑oriented mindset with strong analytical capabilities for reviewing multiple documents and reports simultaneously. Ability to thrive in a fast‑paced, deadline‑driven environment while juggling multiple priorities. Preferred Qualifications Associate degree or coursework in business, supply chain, or a related field. Hands‑on experience with automated order entry systems (e.g., ERP, CRM platforms).
