The Coordinator for the Office of Technology Development will provide administrative support for technology disclosure and agreement processes, ensuring accuracy and timely workflow completion.
Responsibilities
- Logs Technology Disclosures in database, reviews submissions for completeness, and sends acknowledgement emails
- Organizes and maintains agreement-related emails, folders, and records in shared inboxes
- Routes actionable items to appropriate team members and responds to routine status inquiries
- Maintains agreement files based on status
- Reviews and directs emails from OTD inbox to be addressed by appropriate team members
- Creates and maintains agreement folders and related documentation in central folders
- Uploads portal intake sheets, drafts, redlines, and other agreement materials
- Organizes agreement records based on current status
- Reviews portal requests for completeness, requests additional information as needed, and approves routine submissions
- Completes and updates agreement records in database, including links to related company, contact, and tech records
- Follows up on pending or expiring agreements, and processes Docusign agreements and amendments
- Cleans and organizes active and legacy agreement records to ensure accuracy, completeness, and ongoing usability of data
- Assists with training and troubleshooting
- Ensures regular monitoring and updating of the intranet and internet page(s) through uploading training materials, revising FAQs, etc
- Provides administrative support for projects as needed
Skills
- High school diploma required
- Some experience in administrative support, office coordination, records management, or data entry preferred
- Demonstrated attention to detail, organization, and accuracy in maintaining records and documentation
- Ability to manage multiple priorities, follow established procedures, and complete tasks with minimal supervision
- Effective written and verbal communication skills
- Basic proficiency in Microsoft Office applications and willingness to learn internal systems and databases
- Ability to maintain confidentiality and exercise professionalism in handling sensitive information
- Ability to work effectively as part of a team and provide responsive support in a service-oriented environment
- Some experience in administrative support, office coordination, records management, or data entry preferred
