Collections & Projects Coordinator Saulaman Schlegel Art Services (SSAS) Twin Cities, MN Saulaman Schlegel Art Services (SSAS) is seeking a highly organized and detail-oriented Collections & Projects Coordinator to support our growing fine arts logistics and installation practice. This role is ideal for someone with a background in museum studies, art history, registration, collections management, or exhibition preparation. The ideal candidate is excited to help build thoughtful systems supporting artists, collectors, galleries, and institutions. The position encompasses multiple roles and skills in museum registration, project management, and studio operations, and will play a key role in coordinating installations, organizing internal systems, scheduling, trainings, and helping to build a private collection cataloguing focus. Our practice is grounded in: • careful stewardship of artworks and artifacts • collaborative work culture • professional museum standards • curiosity, learning, and skill development • decolonial perspectives within arts infrastructure ResponsibilitiesProject & Client Coordination • Respond to client inquiries and gather project details • Prepare estimates and invoices • Coordinate installation schedules • Prepare installation briefs for technicians • Track project documentation and communications Administrative Operations • Process contractor invoices and weekly payroll • Maintain organized client and project records • Support CRM/database management • Coordinate equipment and logistics for installs Collections & Registration Support • Assist with condition reporting (implementing Articheck or equivalent platforms) • Document artworks for cataloguing projects • Support collection inventory and database organization • Assist with projects cataloguing private collections for insurance, appraisal, or estate planning purposes • Maintain accurate object documentation and metadata Systems & Studio Development • Help refine internal SOPs and workflows • Assist with onboarding documentation for installers • Support documentation standards across projects Outreach & Communications (Bonus) • Assist with project documentation and storytelling • Help maintain social media presence • Support client outreach and marketing efforts Ideal Qualifications We welcome candidates with backgrounds in: • Museum Studies • Art History • Registration • Collections Management • Exhibition Preparation • Gallery or museum operations Preferred skills: • Familiarity with Articheck or other condition reporting softwares • Collections databases (Collector Systems, TMS, Artwork Archive, etc.) • Strong organizational and documentation skills • Clear written communication • Ability to manage multiple projects simultaneously Bonus skills: • social media storytelling • experience with art handling standards • project management tools • photography for artwork documentation Compensation Part-time: 5–20 hours/week - occasional on-call Compensation: $25–$35/hr depending on experience Flexible schedule with some weekend availability.
